Setting Up Polyguard PreScreen¶
This guide walks recruiting admins through turning on Polyguard PreScreen for your team. The setup differs slightly depending on which applicant tracking system you use — select the tab that matches yours.
Before you begin, make sure you have admin access to your applicant tracking system and to the Polyguard Console.
Connect Your Applicant Tracking System¶
1. Connect Greenhouse to Polyguard¶
- In the Polyguard Console, open Integrations and choose Greenhouse.
- Paste your Greenhouse Job Board API key when prompted. This lets Polyguard read your published jobs and submit verified applications on your behalf.
- (For the Inbound Backstop) add your Harvest API key as well, so Polyguard can advance verified applications through your pipeline.
2. Publish a protected careers page (Hosted Apply)¶
- Polyguard automatically mirrors your published Greenhouse jobs onto a Polyguard-hosted careers page.
- Share that careers page link wherever you advertise roles. Candidates apply there, complete a Trust Check, and only verified applications are submitted to Greenhouse.
3. Turn on the Inbound Backstop (optional)¶
- In Greenhouse, add an Identity Verification stage to the pipelines you want to protect.
- In the Polyguard Console, enable the Inbound Backstop for those pipelines.
- When an application arrives directly in Greenhouse, Polyguard emails the candidate a Trust Check. Once completed, the application automatically advances past the Identity Verification stage.
Add the Identity Verification stage before enabling the backstop
The Inbound Backstop advances candidates past a stage named Identity Verification. If that stage does not exist in a pipeline, applications will not be gated there.
1. Connect Rippling to Polyguard¶
- In the Polyguard Console, open Integrations and choose Rippling.
- Enter your job board slug (the identifier in your public Rippling careers URL). Rippling's public job board does not require a customer API key for reading and submitting applications.
2. Publish a protected careers page (Hosted Apply)¶
- Polyguard mirrors your live Rippling postings onto a Polyguard-hosted careers page.
- Share that link wherever you advertise roles. Candidates apply there, complete a Trust Check, and only verified applications are submitted to Rippling.
Inbound Backstop for Rippling
The Inbound Backstop for Rippling is enabled through Rippling's partner integration. Talk to your Polyguard contact to turn it on for your account.
1. Connect Workday to Polyguard¶
- In the Polyguard Console, open Integrations and choose Workday.
- Provide the Workday integration details requested by the Console so Polyguard can read your published requisitions and write verified applications and identity claims back onto the candidate record.
2. Publish a protected careers page (Hosted Apply)¶
- Polyguard mirrors your live Workday requisitions onto a Customer-branded careers page hosted by Polyguard.
- Share that link wherever you advertise roles. Candidates apply there, complete a Trust Check, and only verified applications are submitted to Workday.
Inbound Backstop for Workday
The Inbound Backstop for Workday is enabled as part of your Workday integration. Talk to your Polyguard contact to turn it on for your account.
Choose Required Proofs¶
In the Polyguard Console you can set which identity proofs every applicant must complete. A typical configuration confirms a real, present person; you can raise this to include a verified name, a government-issued ID, geographic region (which can be geofenced), and a phone number verified by one-time passcode (OTP) for higher-assurance roles.
Start simple, raise assurance per role
Many teams start with presence verification on all requisitions and require full identity proofs only on sensitive or high-trust roles.
What's Next?¶
- Reviewing Verified Applications — see what verified identity looks like on a candidate record.
- Share the candidate guide with applicants so they know what to expect.
